How to Index a Piece of Music for the PSALM Liturgical Music Resource:
A Step-by-Step Manual--2005 Edition

  1. Log on to PSALM Website: www.orthodoxpsalm.org. Click on Music.
  2. Clicking on "Submit/Index a new entry" will present you with a Login window. Enter your UserID and Password. This identifies you to the database.
  3. Upon logging in, you are taken the New Music Entry-Preliminary Search page, where you should first search to see if the Title you with to submit is already in the database. Please search using any or all of the following fields:
    1. Keyword
    2. Title
    3. Liturgical Designation
    4. Text Incipit
    5. Composer/Arranger
    6. Chant Group
    7. Publication data
  4. If your search returns positive results, you should proceed to the View Details screen and then to the View Sample option. This will provide you with an actual musical score that you can compare to the one you are intending to index or submit.
  5. If you do not find any entries, or if you are certain that the piece you are submitting does not already exist in the database, proceed to: Create New Music Record
  6. The field "Entered by:" should already be filled out based on your login ID.

    The information about each liturgical setting is divided into several categories:

    INFORMATION THAT UNIQUELY IDENTIFIES THE SETTING LITURGICALLY BY TITLE, LITURGICAL DESIGNATION, TEXT INCIPIT, LANGUAGE, AND TRANSLATION.

  7. Enter the Title of the musical setting to be indexed as it appears in the music* (This and other required fields are marked with a red *)
  8. Enter the Alternate Title--any title or subtitle that appears under the Title.
  9. Select the Liturgical Designation* from the drop-down menu. The Liturgical Designation of a musical setting refers to the function or place of that hymn in the scheme of liturgical service. In some instances, a given setting may have more than one Liturgical Designation, in which case, it should be indexed multiple times. For more information, see the pop-up Help screen.
  10. Enter the Text Incipit.* The text incipit consists of the first few words of the liturgical text that uniquely identify the particular hymn. For more information, see the pop-up Help screen.
  11. Select the Liturgical Service in which the setting is sung, using the drop-down menu. In the case of such settings as troparia or kontakia, which are sung in several different services, select "All". In some instances, such as "sacred concertos" or non-liturgical hymns and carols, no services would be selected.
  12. Where appropriate, enter the Liturgical Occasion or the Date on the Church Calendar, using the drop-down menus. In some instances, a given hymn may be sung on more than one Liturgical Occasion, in which case multiple entries should be made. For hymns that are not specific to any particular day or feast, leave these fields blank. For more information, see the pop-up Help screen.
  13. Select the appropriate Hymn Category* from the drop-down menu. "Fixed" refers to unchanging hymns chiefly from Vespers, Matins, and Liturgy. "Variable" hymns are those that change according to one of the liturgical cycles: weekly, festal, lenten, paschal, or according to the Eight Tones. For more information see the pop-up Help screen.
  14. Select the Liturgical Cycle from the drop-down menu. For settings that are not specific to any particular cycle, such as litanies and responses, select "All". For more information see the pop-up Help screen.
  15. Select the Language*
  16. Select the Translation Source*

    NOW FOLLOWS INFORMATION ABOUT THE MUSICAL SETTING OF THIS SELECTION

  17. Select the Composer or Arranger* from the drop-down menu. In the case of a "raw" chant setting that has not been arranged by any known composer, enter "Anonymous" in the Composer/Arranger field and select the Chant group from the drop-down menu in the Chant field below. For more information, see the pop-up Help screen. If a composer's or arranger's name is not found in the drop-down menu, you can add one to the database using the pop-up entry screen. Upon validation by the Editorial Staff, the new entry will be added permanently to the database.
  18. If applicable, enter the name of the Adapter. For more information, see the pop-up Help screen.
  19. If applicable, select the Tone from the drop-down menu. The numbering of the Tones has been provided according to both the Byzantine and Slavic systems.
  20. If applicable, select the Model (Pattern) Melody from the drop-down menu. The menu includes an extensive listing of model melodies, categorized by tone. For the sake of data consistency, one particular translation has been selected to identify each melody. Please use the one that corresponds most closely to the setting you are indexing.
  21. If the example you are indexing is written in or contains notation other than Western round-note notation, enter it in the Notation field. Examples might be Byzantine, Kievan square-note, staffless znamenny neumes (kriuki).
  22. Enter the name of the Transcriber or Editor. Typically, this entry would be made in conjunction with the previous field.
  23. If applicable, enter the Year of Composition.
  24. If applicable, enter the Dedication.
  25. Select the Country of Origin from the drop-down menu. In cases where this information is too ambiguous, this field may be left blank. For more information, see the pop-up Help screen.
  26. If applicable, select the Original Source upon which this setting is based from the drop-down menu. If the source is not listed in the drop-down, please contact the LMR Project Manager at: LMRAdministrator@orthodoxpsalm.org.

    NEXT IS INFORMATION ABOUT THE MUSICAL CHARACTER OF THIS SELECTION:
  27. Select the Voicing* from the drop-down menu.
  28. Select the Chant Melody Location from the drop-down menu.
  29. Select the Texture from the drop-down menu.

    PUBLICATION INFORMATION FOR THIS SETTING FOLLOWS NEXT:
  30. Select the Score Format* from the drop-down menu.
  31. Enter the Number of Pages*
  32. Enter the Number of Hymns in Set. This field refers to the number of hymns that make up a larger liturgical unit. For more information, see the pop-up Help menu.
  33. If the selection you are indexing is part of a collection, enter the name of the collection and the name of the compiler or editor in the Published in Collection field. An entry in this field should look a typical bibliographic citation. For more information, see the pop-up Help menu.
  34. Enter the Publication Data*. For published selections, this consists of the name of the publisher; for privately published works, enter "Published privately"; for previously unpublished works, enter "Unpublished". For more information, see the pop-up Help menu.
  35. Enter the Publication Year*, if known. If the year is unknown, enter N/A (not available).
  36. Enter the name of the Copyright Owner, if it is shown to be different from the publisher in the copyright notice.
  37. In the field Submitter Notes you can enter up to 250 words that may be helpful to the users of this setting. This may include interesting information about the setting, some specific information about what distinguishes this particular arrangement from similar ones, etc.
  38. If the selection has a publisher's Catalog Number printed on the music, enter it here. If there is no catalog number, leave this field blank, and a number will be assigned by the LMR Administrator.
  39. In the Price field enter the following information:
    • If this item will be available for download free of charge, enter FREE.
    • If this item has a retail price set by the publisher, enter it here.
    • If this item will be downloadable for a fee according to PSALM's pricing schedule, please enter the price from the chart in the pop-up Help screen according to the number of pages.
  40. If you are only indexing a setting from a previously published collection and will not be uploading a PDF file with this entry, click "Add This Record" and you will be taken to the next screen.
  41. If you are indexing a piece that you wish to submit for posting on the PSALM Liturgical Music Resource, there are several additional steps.
    1. You must create a PDF document of your musical setting and give it a PDF Filename. Enter the PDF Filename into the appropriate field.
    2. You may elect also to upload an audio file in MP3, RealAudio, or MIDI format. Enter the Audio Filename into the appropriate field.
    3. You will be prompted to upload the actual files on the next screen. Please make sure that the filenames you enter exactly match the actual names of the files, otherwise, the database will return an error. When finished, click "Add This Record".
  42. If you receive an error message from the browser, this means you neglected to fill out one of the required fields. Please go back and fill in the missing information in the fields specified in the error message and click the submit button again.

WHAT HAPPENS NEXT?

    Your submission will be reviewed by the PSALM Liturgical Music Resource Editorial Board, according to the Review Guidelines, and you will be contacted with either an acceptance agreement, or with suggestions for how your setting may need to be improved, either in terms of format, or content, or both.
